How To Use Files

AthleteOne allows you to safely and securely store, access, and share all the files you collect for your business and athletes. Instead of storing your files on your computer or paying for other cloud services, you can store all of your coaching business files in your AthleteOne account.

Uploading Files

You can upload files to AthleteOne from the main Files page or from the Files tab on a specific Athlete page. Once you're on the main Files page or the Files page for a specific Athlete, you can just drag and drop the files you want to upload into the table or you can upload files by clicking the + Add Files button.

Files Page

The main Files page can be accessed by navigating to Documents on the top menu bar and clicking Files. The Files page will display all of the files you have uploaded and the file folders you have created. These files can be marked Private to limit access to the Account Owner or Public Read to share with athletes via a link. Examples of the files you may choose to store in AthleteOne include your business insurance policy, license certificates, coaching articles, contracts, signed athlete waivers, etc. 

Files on the Athlete Page

Files on the Athlete page can be accessed by navigating to Contacts on the top menu bar and clicking Athletes. Now select the specific Athlete you want to upload files for by clicking on the Athlete name or by clicking on the Menu icon (≡) to access the action menu, then select View. Once on the specific Athlete page, click on the Files tab to access the Files page for that Athlete.

The Files page for a specific Athlete will display all of the files folders you have created and the files you have associated with that specific Athlete. These files may include pictures, test results, race results, interview forms, written plans, etc.

Permissions

Files are set to "Private" by default when uploaded to AthleteOne. This means that no one except the Account Owner can access the file, even if they have the URL. If you would like to share a file with another coach or athlete, you just need to change the file Permission to be "Public Read". This will allow anyone with the link to view or download the file. You can copy the link and share it in an email, text, blog post, social media, etc.

To change the Permission for a specific file:

  • Click the Menu icon () on the far right to access the action menu for the file you want to change, then select Edit to access the file Edit dialog box.
  • Click the Permission drop-down menu and select the Permission you want to assign to the file - Private or Public Read.
  • Click the Save button to Save your changes.

Sharing Files

When you upload a new file to AthleteOne the file permission is set to "Private" by default. No one can access private files even if they have the URL. If you would like to share the file with another Coach or Athlete, change the permission to "Public Read". You can then copy the link and share it in an email, text, blog post, social media or anywhere else.

Deleting Files

You can delete any file that you've uploaded to AthleteOne from the main Files page or from the Files tab for a specific Athlete.

Files Page
  • Navigate to Documents on the top menu bar and click Files.
  • Click the checkbox to the left of the file(s) you want to delete.
  • Click the "Delete" button at the top of the Files page.
OR
  • Navigate to Documents on the top menu bar and click Files
  • Click the Menu icon (≡) on the far right to access the action menu for the file you want to delete, then select Delete.
Files Tab of specific Athlete
  • Navigate to Contacts on the top menu bar and click Athletes.
  • Select the Athlete you want to work with by clicking the Athlete name or clicking the Menu icon (≡) on the far right to access the action menu and selecting View.
  • Once on the specific Athlete page, click the Files tab.
  • Now you can delete files for the specific Athlete as described in the steps for Files Page above.

Moving Files


You can move any file that you've uploaded to AthleteOne from the main Files page or from the Files tab for a specific Athlete.

Files on the Files Page and on the Files Tab of a specific Athlete may be moved by dragging and dropping a file to another folder or you can:
  • Click the checkbox to the left of the file(s) you want to move.
  • Click the "Move" button at the top of the Files page.
  • Click on the name of the folder that you want to move the file(s) to in the "Move Selected Files" dialog box.

File Filters


You can filter the display of your files in AthleteOne from the main Files page.
  • Navigate to Documents on the top menu bar and click Files.
  • The available file filters display on the left side of the main Files page.
  • Apply the filter(s) to change the display of your files.

Files Storage Limits


The amount of space available to store files in your AthleteOne account is defined based on your AthleteOne subscription level. Please check the Subscription tab on the My Account page of your AthleteOne account for additional information.
